Monument software that works with QuickBooks Online
MonuDesk connects to QuickBooks Online on the Pro plan, $299 a month or $249 a month on yearly billing. When you confirm a monument order, MonuDesk creates or matches the customer in QuickBooks and posts the order as an invoice, a sales receipt or both. Every payment is sent once as it comes in, and sales tax lands in QuickBooks' own tax field, so nobody retypes orders into QuickBooks. QuickBooks Desktop is not supported.

What MonuDesk sends to QuickBooks Online
MonuDesk sends the money side of every monument order to QuickBooks Online, so the books match the orders without retyping:
- Customers. When you confirm an order, MonuDesk matches the customer in QuickBooks or creates a new one.
- Quotes. Your choice: a QuickBooks estimate (recommended, it does not post to the books), an invoice, or nothing until the order is confirmed. An estimate becomes the invoice when the family confirms.
- Orders. Posted as an invoice, a sales receipt or both, with an auto-sync switch for each, so you decide which orders push by themselves.
- Payments. Each payment goes to QuickBooks once, as it comes in, so QuickBooks shows the money you have actually collected.
- Sales tax. In QuickBooks' own tax field, not as an extra line, so the QuickBooks tax liability reports stay right.
- Order numbers. The MonuDesk order number is the QuickBooks number, and the decedent's full name is in the memo, so every transaction is easy to find.
Your accounts, your items
MonuDesk writes into QuickBooks the way your accountant set it up. Income Account Mapping decides which QuickBooks account each kind of sale posts to. Customer field mapping decides which QuickBooks customer field each MonuDesk field writes into. Cemetery fees and custom lines can be matched to your own QuickBooks items.
Inventory in both directions
If your stones, vases and services already live in QuickBooks Products & Services, MonuDesk pulls them in and keeps prices and stock counts in step both ways. Anything MonuDesk cannot match for certain waits in a review queue for you to decide, instead of being guessed. Inventory is on the Pro plan.
More than one location
QuickBooks is connected per office. Each location has its own QuickBooks company, its own field mapping and its own last-sync time, and an order's payments post to the company of that order's office.
Card and bank payments
With MonuPay, available to dealers in the United States and Canada, families pay by card in the MonuDesk family portal, and your team can charge a card given over the phone. Those payments reach QuickBooks like any other. A bank payment from the portal is booked, and sent to QuickBooks, only once it has cleared; if the bank returns it, MonuDesk takes it off the order and reverses what it sent to QuickBooks.
How to connect
- In MonuDesk, open Settings → Integrations and find the QuickBooks Online card.
- Click Connect QuickBooks and sign in to QuickBooks.
- Choose how quotes and orders post, and map your income accounts and customer fields.

Why dealers connect it
A monument dealer in Tennessee told us the shop spent 30 to 60 minutes a day retyping orders into QuickBooks. With the connection, the order is typed once in MonuDesk and the invoice and payments follow.
What it does not do
MonuDesk connects to QuickBooks Online, not QuickBooks Desktop. It is on the Pro and Max plans, not on Basic. On Basic you still get invoices, receipts and contracts in MonuDesk, ready to print or send.
“The cool thing is, I type this in once, and I get it on quotes, and I get it on designs.”
“MonuDesk has just made everything very organized. It saves time.”
