Scan a paper monument order, get a filled-in quote
MonuDesk Paper Order Scan turns a paper monument contract into a filled-in quote. Take a photo, upload the PDF or scan it with your phone, up to six pages at once, and in about 10 to 20 seconds MonuDesk fills in the customer, the cemetery, the stone, the inscription, the line items, the payment terms and the deposit. You check each step and save. It is included on every plan.

Why scan instead of type
Monument orders still get written on paper: at the family's kitchen table, at the cemetery, at the counter on a busy Saturday. Typing them into software afterwards takes time and lets mistakes in. MonuDesk Paper Order Scan reads the paper and does the typing, and you only check it.
None of the nine other monument platforms we compared publishes a paper order scan (checked October 2026). See the comparison.
Two ways to start
- Click New Quote and choose Create Quote from Paper Order.
- Or, in a new quote you already opened, click Scan order at the top.
Photo, PDF or phone
Upload a photo or a PDF. Drop the pages in, up to six per order. Photos can be up to 50 MB each and PDFs up to 24 MB together.
Scan it with your phone. On the computer, MonuDesk shows a code. Point your phone camera at it; the phone does not need to be signed in to MonuDesk. Take a photo of each page, tap send, and the pages arrive on the computer, which carries on by itself.
MonuDesk then reads the order: "Usually 10 to 20 seconds. Keep this window open." New Quote opens with the details filled in.
What MonuDesk fills in
| Step of New Quote | What comes from the paper |
|---|---|
| Client Info | The purchaser's name, phone, email and address, the lead source and the order number from the contract |
| Cemetery & Logistics | The cemetery, the plot location, the plot owner, installation notes, the timeline and the delivery, for example customer pickup |
| Items & Configuration | The stone, base and foundation with their sizes, colors and finishes, the prices, the lettering style and litho color, the accessories and the other priced lines |
| Sketch & Inscription | The decedents, and the design and the inscription as written on the contract |
| Billing & Payment | The payment terms and the deposit |
The checks it does for you
- Cemetery. MonuDesk picks the matching cemetery from your list. When the contract names a cemetery you do not have yet, it adds it and picks it.
- Order number. The contract's number becomes the order number when no other order uses it.
- Fees and lines. Each priced line ticks the matching cemetery fee, uses one of your saved line items or becomes a new line, and a box shows where each line went.
- Deposit. A deposit the contract shows as paid is recorded when you create the order.
- Contract total. MonuDesk compares the contract total with the order. When they differ, you see it: "$8,450 on the contract, $8,200 in this order. Check the prices and fees."
You check, then save
Nothing is saved until you save. Every step with values from the paper starts with a From your scan box listing what was filled in, a line starting with Check: needs a look, and a field the scan was not sure about has an amber outline. The scanned pages stay with the order in Notes & Files, and the contract details are kept as an internal note that never prints.
Included on every plan
Paper Order Scan is on Basic, Pro and Max. Anyone whose role can create orders can use it, on a computer or a phone.
“Oh, people coming from paper contracts? This is going to be life changing.”
“The cool thing is, I type this in once, and I get it on quotes, and I get it on designs.”
