How a Family Portal Works for a Monument Shop (2026)
by Dennis Rodin7 min read
A family portal is one link. The family opens it on their phone and sees where their stone is, which documents are on file, the drawing waiting for their approval, and what is still owed. They approve and pay there. The shop stops taking the call that starts with "I was just wondering where we are with Mom's stone." Here is how it works, what the shop controls, and which vendors offer one as of 17 October 2026.
What the family sees
- The stage. Drawing, cemetery approval, stone ordered, in the shop, set. Written in the family's words, not the shop's codes.
- Documents. The contract, the receipt, the cemetery paperwork, the drawing.
- The drawing to approve. A box to click, with the approval recorded on the order.
- The balance, and a way to pay it. A deposit or the final payment, online.
What the shop controls
A portal is only safe if the shop decides what each family sees. In MonuDesk you toggle what the family can and cannot see per order, and you can turn the portal off for any order. One owner described it like this: "I like having everything, all the documents, right there in the portal. And I like being able to toggle what they can see and what they can't."
On approvals, another owner: "There's no need for DocuSign, because if they're clicking a box and they approve it, then it's just as good as a signature."
What it saves
The call you no longer take. One dealer told us the family link alone saves him "one to two hours a week of just, hold on, let me check the thing real quick." Multiply by the number of open orders in your busy season.

How MonuDesk's portal works
Every order in MonuDesk has a portal link. On Basic ($149 a month) the family tracks progress and pays. On Pro ($299) they also approve drawings and see attachments, and the approval sits on the order. You decide per order what is visible, and you can switch the portal off for a family that would rather call. Families who never open the link still get their paperwork the way they always have. Try it on your next order: the first 7 days are on us.
Questions dealers ask
What is a family portal in monument software? A web page, opened from a link, where the family that ordered a monument sees the order's stage, its documents and drawings, and can approve a drawing or pay a balance. The shop controls what each family sees and can turn it off per order.
Do families actually use a portal? Many do, and the ones who do not still get their paperwork the way they always have. In MonuDesk the shop decides what each family sees and can turn the portal off for any order.
Which monument software has a family portal? MonuDesk (every plan), MB ProBuild (customers view, revise and sign off), MonuOS (tracking links and approval by link) and MonuCore (order portal, not taking new customers). TributeIQ has a proof approval link. StoneSpot describes a wholesale client portal on Pro, not a family portal. GordE has none by design.
Is a portal approval as good as a signature? One dealer put it this way: there is no need for DocuSign, because if they are clicking a box and they approve it, then it is just as good as a signature. In MonuDesk the approval is recorded on the order with the drawing that was approved.
